Keeping Our Pioneers Safe: Our New Visitor Check-in System

At Stillwater Public Schools, the safety of our students and staff is our highest priority. We are proud of the welcoming and inclusive environments in all our schools, and we are always seeking innovative ways to enhance security while maintaining that spirit.

We are excited to introduce Securly Visitor, our new visitor management system. This system allows us to quickly and efficiently screen all visitors, ensuring that everyone who enters our buildings helps contribute to a safe learning environment.

What to Expect When You Visit

The check-in process is quick and user-friendly. When you arrive at any of our school sites, you will be directed to a check-in kiosk in security vestibule.

What You'll Need:

Please be prepared to present one of the following forms of government-issued photo identification:

  • State-Issued Driver's License or ID Card

  • Passport

Please note: Due to the barcode technology used by the system, military IDs are not compatible for scanning at the kiosk. If this is your only form of ID, our office staff will be happy to assist you with a manual check-in.

The Check-In Process:

  1. Approach the Kiosk: Select the "Check In" option on the screen.

  2. Scan Your ID: Follow the on-screen instructions to scan your ID using the device's camera.

  3. Confirm & Photograph: Confirm your identity and allow the system to take your photo. This photo is used for the visitor badge.

  4. Answer & Select: Answer a required safety question and select the reason for your visit (e.g., meeting, volunteering, student pick-up).

  5. Get Your Badge: For visitors who will be moving beyond the front office, the system will print a temporary photo ID badge. Please wear this badge and keep it visible at all times while on campus. If you are only picking up a student from the office, a badge will not be necessary.

Checking Out:

If you received a visitor badge, please remember to stop by the kiosk on your way out. Simply select "Check Out" and scan your ID again to complete your visit.

  • Why is this new system necessary? The Securly Visitor system adds a crucial layer of security to our schools. It instantly runs a quick checks of visitors against national registries, helping us ensure that only authorized individuals are on our campuses.

  • What happens to the information from my ID? Your privacy is important to us. The system securely stores your name, photo, and date of birth for screening and reporting purposes only. It is not shared with any outside agencies or used for any other purpose.

  • What if I don't have an approved ID with me? We understand this can happen. Please speak with the front office staff, and they will assist you.

  • What if I need assistance or have questions? Our dedicated office professionals at each school are ready to help you with the check-in process. We are committed to ensuring every family member and guest feels welcome and supported.
